How to Send a Thank You Email After an Interview, with Thai and English Examples
When to send it, who to send it to, how long it should be, and what to include so interviewers remember you. With ready-to-adapt email examples.
The interview ends and you walk out feeling it went well, though there are a few answers you wish you had added to. On the way home, one question loops in your head: should you send a thank you email, or will it look like you are trying too hard? You should send it, and if it is well written, it is your last chance to communicate with the interviewer before they decide.
What a thank you email is and how it helps
A thank you email is a short message sent after an interview to thank the interviewer for their time, restate your interest and connect to something you discussed. It will not turn an unsuitable candidate into a hire, but it makes you look professional and helps the interviewer remember you when comparing candidates.
When to send it and to whom
- Timing: the same day, or no later than the next working day, while the conversation is fresh
- Recipient: the interviewer directly if you have their email; if not, the HR contact who scheduled the interview, asking them to pass it on
- Several interviewers: send a separate email to each, tailored to what you discussed with that person. Do not send the same text with only the name changed
A four-part structure, under 150 words
- Thanks, naming the role and the interview date
- What you discussed: one point that made you more interested in the role
- Link to you: one sentence on how your experience helps with that
- Close: say you are happy to provide more information
Thai example (translated)
Subject: Thank you for the Data Analyst interview Dear Khun Karn, thank you for taking the time to interview me this morning. I was very interested to hear that the team is moving its sales reports from Excel to automated dashboards. In my current company I handle similar work using Power BI, and I would be glad to share more details if useful. Thank you again, Phakin
English example
Use this when the interview was in English or the company communicates internally in English.
Subject: Thank you, Marketing Executive interview Dear Ms. Lee, thank you for taking the time to meet me today. I enjoyed hearing about your plan to grow repeat customers through LINE OA. I have run similar retention campaigns in my current role and would be glad to share more examples. Best regards, Nicha
Use it to complete an unfinished answer
If there was a question you answered poorly, add one sentence such as "On your question about managing multiple stakeholders, I would like to add an example..." and keep it brief. Do not fix every answer; pick only the one that matters most for the role.
Online or phone interview? Send one too
The same principles apply. If you interviewed by video call and do not have the interviewer's email, check the calendar invitation, which usually lists attendees. If there were audio or video problems, thank them for their patience and restate in one sentence any point that may not have come through clearly.
What to avoid
- Being too long, or retelling your whole resume
- Asking "When will results come out?" in a thank you email. Ask at the end of the interview, or wait for the timeline you were given
- Misspelling the interviewer's name: check their business card, the invitation email or the company profile
- Using personal channels, such as adding them on LINE without being invited
- Letting AI write it and sending it without real details from your interview: it will sound like a template immediately
If there is silence after you send it
Wait for the timeline HR gave you. If about a week has passed beyond it, you can send one short follow-up. Meanwhile, keep applying elsewhere. Learn how to follow up politely in Following up after an interview.
How to start
- Right after the interview, note the interviewer's name and two or three points you discussed
- Pick the one point that best connects to your experience
- Write using the four-part structure, under 150 words
- Check names, title and spelling, then send the same day
