What Is an AI Agent? Why It Will Change the Way We Work
How AI agents differ from chatbots, how they work, tools you can try now, the impact on different jobs, key risks and a safe way to start.
Think of the Monday-morning task you repeat every week: open email, download the sales file, copy figures into a spreadsheet, make a chart, then send a summary to your manager. A familiar AI assistant helps one question at a time, but you still walk through every step. An AI agent is the idea of giving AI the whole goal, letting it plan and carry out several steps itself, while you supervise and check the result.
What is an AI agent?
An AI agent is an AI system given a goal that decides for itself what to do first, which tools to use (such as searching the web, reading files, sending email or calling other systems), and looks at the result of each step to adjust the next, until the work is done or it reaches a point where a person must decide.
Chatbot vs agent
- Chatbot: you ask How much are flights to Tokyo next week? It gives you information and you book yourself.
- Agent: you say Find flights to Tokyo next week that fit my meeting schedule, compare 3 options, and prepare the booking for me to confirm. It searches, compares and prepares every step.
How an agent works
- Receive a goal: e.g. summarise weekly sales and draft an email to the manager.
- Plan: break the work into smaller steps.
- Use tools: open files, read data, calculate, write text.
- Check and adjust: if a step fails, try another way.
- Hand back to a person: ask for confirmation before doing anything with real effects, such as sending email or paying money.
Example tools available now
- OpenClaw: DigitalOcean describes it as an open-source personal AI agent that runs on the user's own machine, takes instructions through chat apps such as Slack or WhatsApp, can work with files and the browser, and advises caution about security when installing it.
- Claude Cowork: InfoQ reports it is Anthropic's agent that works with files in folders the user permits, such as organising files or compiling reports from multiple documents, and advises backing up files before granting access.
- n8n: a workflow automation tool used to connect AI to work steps and different apps.
How AI agents will change different jobs
- Managers: let an agent gather figures from several sources and draft reports, leaving more time to talk with the team and decide.
- SME owners: use an agent to answer repeated customer questions, organise orders and summarise sales.
- Developers: use a coding agent to help write and test code, then focus on system design and review.
- Analysts: let an agent pull data and make initial charts, then spend time on interpretation.
So the skills that matter more are not just using tools but breaking work into steps, writing clear instructions and checking output quality. Roles like designing AI workflows and looking after agent systems in an organisation are starting to be needed by many teams.
Cautions
- Access rights: give an agent access only to the folders and accounts it needs.
- Back up data: an agent that can edit files may edit or delete wrongly by accident.
- Steps with real effects need human confirmation: emailing customers, paying money or deleting data.
- Hidden instructions in content: a website or file the agent reads may contain text tricking it into doing something you did not ask.
- Company policy: check which tools your company allows with which kinds of data.
In the age of AI agents, the winners are not those who work hardest, but those who know what to delegate to AI and how to check the work.
Where to start
- List the tasks you repeat every week and pick 1 with clear steps where a mistake would not cause much damage.
- Write the steps out like you would teach a new employee.
- Let AI do it step by step using sample data, not real data.
- Set points where you must confirm before it continues.
- Record the result: how much time it saved and what needed fixing, then expand to other tasks.
