What Is n8n? Build Automated Workflows Any SME Can Set Up
Meet n8n, a workflow automation tool, with examples SMEs can use, key cautions and simple steps to get started.
Every morning you open Shopee to check new orders, copy customer names into Google Sheets, and send a LINE message telling the team to pack. In the afternoon you answer the same email questions, and every Monday you sit down to total up sales for a report. None of this is hard, but it eats hours every day. What if a system did it for you? That is where n8n comes in.
What is n8n?
According to Wikipedia, n8n (pronounced “en-eight-en”) is a workflow automation platform developed by n8n GmbH in Berlin and launched in 2019. Users connect apps, services and AI models through a drag-and-drop, node-based editor, and can add JavaScript or Python when needed. More recently the company has focused more on AI features, such as building AI agents where a language model makes decisions and calls other tools within a workflow.
Put simply, you tell n8n “when X happens, do Y, then send Z,” and it does the same thing automatically every time.
3 terms to know
- Trigger: the starting point of a workflow, such as a new email or 9 a.m. on Monday
- Node: each step, such as reading data from Google Sheets or sending a message
- Workflow: the whole chain of nodes that completes the task
Example workflows an SME can use
1. New order → record → notify
When a new order arrives → record it in Google Sheets → message the packing team. Before you start, check how your sales platform allows connections via API or webhook.
2. Customer email → AI summary → draft reply
When a new email arrives → send it to an AI model to summarise and draft a reply → send the draft to you for approval before it goes out. Having a person approve stops wrong answers from reaching customers.
3. Automatic weekly sales report
Every Monday morning → pull data from Sheets → calculate totals and compare with last week → email a summary to the owner.
4. Lead management
A customer fills in a form → record it in the CRM → send a welcome email → if there's no reply after 3 days, send a follow-up message.
How n8n differs from other tools
There are several options in this market, such as Zapier and Make, which are known for ease of use. What sets n8n apart is that you can use n8n's cloud or host it on your own server. Wikipedia notes that n8n uses a “fair-code” licence called the Sustainable Use License, which allows self-hosting and modification but forbids reselling it as a hosted service that competes with n8n. It therefore does not count as open source under the Open Source Initiative's definition.
Pricing for each tool changes often, so compare the latest pricing pages from each provider, and count hidden costs too, such as server fees and maintenance time if you self-host.
Cautions
- Personal data: workflows that send customer data to AI or external systems must comply with PDPA. Read PDPA and using AI
- Security: store API keys and passwords in the system's credentials, never pasted directly into a node
- Workflows can fail silently: set up alerts for workflow errors and check results regularly
- AI can make wrong decisions: anything that affects customers or money should always be approved by a person
Good automation doesn't start with a tool. It starts with knowing which work you repeat every day.
Where to start
- Note the repetitive tasks you do every week, and pick the one with the clearest steps
- Write the steps in plain language, “when... do... then...”, before opening the software
- Choose n8n Cloud or self-hosting; if no one can look after a server, start with the cloud
- Build a simple workflow such as “new email → send a notification” and test it with real data
- Once you're confident, add AI nodes and expand to other tasks
