What Is a CRM? Why Today's SMEs Can't Do Without One

What a CRM is and why small shops need one too, with three levels from Google Sheets to automation, sample data fields, and a plan to start within a week.

A customer messages you on LINE at 9 p.m. asking for a price. You plan to reply tomorrow, then forget. Another customer ordered snacks for a company party last year, but you cannot remember who they were, so you never reach out near year end. If this sounds familiar, what you lack is not customers but a system to remember them, which is what a CRM is.

What a CRM is

CRM stands for Customer Relationship Management, a system for managing customer relationships. It records who customers are, what they bought, what you discussed and when to follow up. Simply put, it is a digital customer notebook that can remind you and lets everyone on the team see the same information.

Why SMEs need a CRM

Data to collect from day one

You do not need much. Start with these fields: name, contact channel, how they found the shop, products bought, last purchase date, total spend, notes such as a nut allergy or preferring evening delivery, and the next follow-up date. Tell customers what you collect data for, and keep only what is necessary under PDPA principles.

3 levels of CRM for SMEs

Level 1: LINE OA with Google Sheets

Suits shops just starting out. Chat with customers on LINE OA and record data in Google Sheets, one row per customer. It can start today, but it is manual and error-prone as customers grow. See how to use LINE OA in the LINE OA guide for small businesses.

Level 2: a ready-made CRM such as HubSpot's free plan

HubSpot's product page says its free CRM has no expiration date and covers contacts, a sales pipeline and follow-up tasks, with limits on users and contacts. Check the latest terms on the website before starting. It suits shops with a sales team or deals that need several follow-up steps.

Level 3: automation with n8n and AI

Connect the CRM with LINE, email and Google Sheets to run on its own. For example, when a customer orders, the data is saved to the CRM automatically, and if they have not bought again after a set time, the system sends a follow-up message. Read more in n8n for SMEs and CRM automation with AI.

An example of a CRM in a small shop

Suppose an online bakery records that a company customer ordered party snack boxes in December, with a note that they like matcha flavour. In early November, the system reminds the shop to reach out with a new matcha menu and offer early booking. The customer feels remembered, and the shop gets an order without spending more on ads. That is the power of small data recorded consistently.

Common mistakes

Your best customers are often the ones who already bought from you. Just do not forget them.

Where to start this week

  1. Create a Google Sheet with the fields listed above.
  2. Add customers from the last three months as far as you can find them.
  3. Set a rule that every new customer is recorded on the same day.
  4. Every Monday, spend fifteen minutes checking who should get a follow-up.
  5. When the data outgrows the sheet, move to a ready-made CRM.
