AI-Powered CRM Automation: Stop Losing Leads
Set up CRM automation so every lead is captured, prioritised, owned and followed up on time, with AI summarising and drafting messages.
Picture a language school that gets interested customers from three places: a website form, LINE OA chat and phone calls. The details end up scattered across email, chats and sticky notes. Eventually someone asks about a course and nobody follows up, because everyone assumes someone else did. The problem is not a lazy sales team. It is the lack of a system that makes sure every lead has an owner and a next step.
What is AI-powered CRM automation?
A CRM is where you keep customer data and sales status. If you are not sure your business needs one, start with What is a CRM. AI-powered CRM automation means building workflows around the CRM so new leads are captured, prioritised, assigned and followed up automatically, with AI reading messages, summarising needs and drafting follow-ups.
For a small business, the CRM can start as a well-designed Google Sheet, or a system like HubSpot, whose website states it offers a free CRM that manages contacts, deals and tasks.
Four points where leads slip away, and how automation helps
1. On arrival: the lead is never recorded
Funnel every channel into one place. Web forms can send data via webhook. For LINE OA connected to the Messaging API, LINE's documentation says the platform sends a follow event when someone adds the account as a friend and a message event when someone sends a message. Use those two events to create or update a CRM contact instantly, and check for duplicates by phone or email before creating a new record.
2. On qualifying: nobody knows who to call first
Let AI read the customer's first message and turn it into fields: course of interest, language level, preferred schedule, and readiness signals such as asking about price or start dates. Then score with rules your team agreed on, rather than letting AI decide everything.
3. On assignment: no owner
Set routing rules, for example by branch or course, and send a summary with a CRM link to the team's LINE group, stating clearly who owns it.
4. On follow-up: it gets forgotten
Create tasks automatically with due dates. If the status does not move within the set time, alert the owner, and have AI draft a follow-up based on what the customer actually asked.
Example flow for a language school
- A customer messages LINE OA: "Do you have an English course for job interviews? Can I study on weekends?"
- The workflow receives the message event and creates a CRM contact with source "LINE".
- AI summarises: interested in the interview course, prefers weekends, level not stated.
- The rules give a high score because they asked about schedule, and assign the lead to the nearest branch's sales team.
- If there is no status update by the next working day, the system alerts the lead owner and the team lead.
The team gains more than speed. It gains a picture it can check: the team lead opens the CRM and instantly sees which leads are stuck with whom, which channel they came from, and where to shift ad budget or content.
Leads are not lost because customers lose interest. They are lost because nobody owns them.
Watch out for
- PDPA: collect only the data you use, tell customers the purpose, and set who can see what.
- Do not let AI message customers entirely on its own: let AI draft and a salesperson review before sending, especially on prices and promotions.
- LINE push messages have a quota: the Messaging API docs say push, multicast and broadcast messages count toward the monthly message total, while reply messages do not. Plan follow-ups to fit your plan.
- Duplicate and outdated records make automation go wrong. Have someone keep the data clean on a regular basis.
How to get started
- Map the lead's journey from first channel to closed deal, and circle where leads slip most often.
- Define lead statuses everyone uses the same way, such as new, contacted, meeting booked, won, not interested.
- Connect only the channel with the most leads to the CRM first.
- Add AI summaries and owner assignment rules.
- Set up automatic follow-up tasks and review results every week.
